Booking Policy

Please note the The Gainford Hotel group do not accept same-sex groups of more than 6 guests and strictly no stag or hen parties

Prices

All rates are quoted per room per night and are inclusive of VAT. Credit CardsYour card details will be used to guarantee your booking. No charges will be made unless specified or in the event of failure to comply with our cancellation policy.

A Chip & Pin Credit or Debit card is needed to check in. 

It is the hotel’s policy to request on arrival an authorization of each guest’s debit or credit card as a guarantee of the payment. The sum requested for authorization is 1 times the room rate multiplied by the number of nights booked plus £50 per room, per night for any extras. This is not a payment but funds will be held against your account until checkout. Please note where an alternative method of payment is used at checkout, your bank will release this authorization after 7-10 working days Arrivals and DeparturesCheck-in is from 15.00.

Guests are requested to vacate rooms by 11:00. Arrangements can be made for early arrival or late departure, subject to availability.

Cancellations

All cancellation will be up until 4pm the day prior to arrival without any charge, cancellation after this time will be charged in full for the first night. Should the need arise please cancel directly with the hotel on 0871 376 9029 or email reservations@countyhotel.co.uk.

You will be issued with a cancellation reference number which must be quoted in any future dealings related to your booking. Failure to comply with our cancellation policy will result in a charge equivalent to your stay. (Group Bookings are subject to individual Cancellation Policy’s )

The Hotel reserves the right to cancel the Reservation and to terminate this Agreement forthwith by notice in writing to the Client if the Hotel or any substantial part thereof is closed due to circumstances beyond the reasonably control of the Hotel or if the Client has failed to make the required pre-payment detailed above or has otherwise failed in any material respect to comply with the terms of this Agreement. If the Hotel cancels the Reservation in any such circumstances, the Hotel will refund any amounts paid by the Client in advance to the Hotel but will otherwise have no further liability to the Client. The Hotel’s right of termination is without prejudice to any other rights accrued to the Hotel at the date of termination.

The Hotel will not be liable for failure to provide agreed facilities in the event of it being prevented from doing so by causes beyond its control, including but not limited to, fire, flood, storm, riot, industrial action or Act of God.

Deposits

Deposits are non-refundable and non-transferable.

​Credit Facilities

Where credit has been agreed invoices are due for payment upon presentation. The Hotel reserves the right to charge interest on late payments at a rate of 3% above the base rate of Barclays Bank PLC, calculated on a daily basis.

Insurance

You are recommended to have insurance to cover cancellation, curtailment or loss of baggage, personal effects and money. Management reserve the right to charge in full for any items removed from the guest rooms without prior consent. Also, the client will take all reasonable precautions not to damage any property of the Hotel and will satisfy any claim properly founded on such damage.

Public areas, passages, corridors and foyers cannot be used to display promotional materials or individual signage or for the registration of guests without prior approval from the Management of the Hotel. The Hotel will always be pleased to arrange or assist with framed signage should this be required.

The Hotel is a completely non-smoking hotel. Failure to comply will result in a minimum cleaning charge of £250 being made.

Parking

On-site car parking is available however a there is a charge of £10 per 24hrs, vehicles are left at the owners risk.

How we use your data for your booking The data you share with us will be used to facilitate your booking and to ensure you have the best possible experience during your stay with us.

When you make a reservation with Gainford Group, we record your contact details, as well as any information you choose to share with us, such as personal preferences and requests about how you would like us to prepare for your arrival. This includes details relating to health matters, such as requirements for wheelchair access, or particular food allergies.

This information also enables us to contact you after you’ve left our venues (in case you’ve forgotten something for example), to request any payments due to us that have not been previously settled, and to recognise you as a loyal guest of Gainford Group if you visit any of our venues in future.

This information is stored on our central reservations system for a period of six years, or longer if you stay with us again within that timeframe.

 

How we use your data for marketing If you choose to opt in to our marketing database, we will contact you via email, with news, updates and special offers we believe will be of interest to you. We will only add you to our marketing database with your express consent. You can automatically unsubscribe from our mailing list at any time by clicking on the ‘unsubscribe’ link found at the bottom of every email we send.
